Church directory photography event is scheduled. What now?

The date is set. Church leadership is getting excited. You personally can't wait to have the new directory in your hands!

First, there are a lot of important things to do before your photography event. Lifetouch Church Directories is always available to help you every step of the way to ensure a smooth process and incredible results. These guidelines will help you prepare a successful Picture Day and ultimately a directory that you'll be proud to provide to members and show off to prospective members.

Publicize your event

Publicizing your photography event is key to maximizing participation. Lifetouch will provide you with an easy worksheet to guide you, but you'll want to ensure you reach out to members in a memorable way. Verbal announcements during church services are a must, but also consider forming a telephone committee to contact families who haven't signed up for photography about two weeks before Picture Day. This personalized, friendly outreach method can boost participation tremendously.

Written announcements serve an important purpose as well. In addition to bulletin reminders and notations on all calendars, hang posters and other visual announcements in highly trafficked common spaces, such as where coffee hour is held. Additionally, modern times mean digital promotion is essential. Upload the provided reminders to websites and social media to help spread the work about your upcoming photography event. "Save the date" emails can be effective as well.

Preparing for Picture Day

A volunteer crew is necessary to help on Picture Day, so make sure people are present several hours before and after to assist. Picture Day is a lot of fun and a great way to create fellowship and good will among members, so enjoy the busy day while seeing everyone together dressed nicely and ready to smile joyously.

It's important to set up a space that facilitates a well-run event. While you don't need to turn the building upside-down, a few areas dedicated to families and photographers help tremendously. Start by setting up a reception area that includes a 6- or 8-foot table and chairs for family seating. The photography room where Lifetouch takes images should be about 14 feet wide by 20 feet long with a 9-foot ceiling height. Finally, set up a photo viewing area, to include three tables with chairs for families to view their images immediately after their session.

Lifetouch will provide everything you need to plan an amazing photography day. You'll need rosters for staff, groups and families to stay organized, and we'll give you all the tools you need to make things as easy as possible at no cost. We recommend having a printout of your roster on photography days so that families can verify the information when checking in at the hostess table.
